Privacy Policy

Since January 1, 2004, Canadians' personal information is protected by a new law: the Personal Information Protection and Electronic Documents (PIPED) Act. This law sets out the ground rules for the collection, use and disclosure of personal information.

The YWCA of Peterborough, Victoria and Haliburton is committed to protecting the privacy of clients, donors, volunteers and staff and maintaining the confidentiality of their personal information.

Personal Information may be provided to us through participation in YWCA programs (ie Crossroads shelters), correspondence, direct mail solicitations or other forms of communication. Such information will be recorded only for the purpose of properly serving clients, processing and receipting a donation, recognizing a contribution, registering participation in a conference, meeting, or other event, responding to information requests or maintaining staff and volunteer records.

This policy is binding on all personal information that is provided directly to the YWCA of Peterborough, Victoria and Haliburton or through generic forms or processes under our auspices.

The YWCA of Peterborough, Victoria and Haliburton will not provide or share Personal Information with third parties unless:

  1. The person involved expressly authorizes us to share the information;

  2. Sharing the information is necessary to process a donation, for example to process a credit card transaction;

  3. It is a risk situation as outlined in the YWCA Confidentiality Policy (a copy of the policy is available at all YWCA locations);

  4. We are required by law.

The Director of Finance shall be the privacy officer for the YWCA of Peterborough, Victoria and Haliburton and the following steps shall be taken:

  1. A privacy e-mail address will be established.

  2. The Privacy Policy will be posted on the YWCA website.

  3. The Privacy Policy statement will be added to appropriate printed materials such as donation reply cards.

  4. An annual privacy audit led by the Privacy Officer will be conducted and the results reported to the Board.
